Supplier Terms

Firstly, thank you for showing an interest in becoming an Approved Supplier for The Medical Network Ltd (TMN).
As part of the process to become an approved supplier, you must agree to the following code of conduct & responsibilities, payment terms and removal of ‘Approved Suppliers’ status. Without this we cannot allow you to be approved. Please take your time to read the whole document.

Code of Conduct & Responsibilities

The Medical Networks role is to connect the client to our you are ‘Approved Suppliers’. During this time The Medical Network Ltd agrees to:
To act in good faith and conscientiously.
To act within the limits of its authority.
To avoid any conflict of interest.
To disclose all material facts to the principal and to refrain from divulging confidential information to third parties.
Not to charge the Customer any additional monies in connection with the service being provided by the Supplier.

The Medical Network doesn't take responsibility for:

Client credit checks.
Client’s who fail to pay for services - those that do will never be able to enquiry via The Medical Network again.
Late payment of fees from clients.
Refunds - We will not help you with getting refunds for your service should you be dissatisfied with the clients event. However it will be ensured that the client will not be able to use The Medical Network again.
Cancellation of events/training courses at late notice.
The Medical Network will advise clients on the minimum level of cover that the event should have. This will be backed up by using information outlined by sports governing bodies, HSE, insurance, councils or any relevant party. But please note that the final decision will be made by the client. If The Medical Network believes this level of cover isn't sufficient, The Medical Network will not allow our services to be used.

As an ‘Approved Supplier’ you agree to:

i. Not to approach any customers directly once they have been introduced by The Medical Network Ltd.
ii. To supply trained/qualified staff as per the event requirements.
iii. Provide equipment and vehicles that meet the required standards.
iv. Provide a professional service when covering events.
v. If providing an accredited course make sure the training course meets the standards of the awarding body.
vi. Adhere to The Medical Network payment terms (detailed below).
vii. Provide accurate information to the services you provide and previous experience.
viii. To provide quotations ASAP back to The Medical Network via your online dashboard.

Please note: Failure to meet high standards and act in any way that reflects poorly upon The Medical Network Ltd will result in removal as an ‘Approved Supplier’.


We will be asking each client for feedback on the quotations that they have received and also the company who provided the event cover or training course. As an approved supplier you can request to receive this feedback. We will use this feedback to create a rating system for your company (0 - 5 stars). This rating will be given to all clients when you submit a quotation. All good client feedback will increase your rating but please note The Medical Network Ltd will reduce ratings on how you deal with us. For example late payments & poor communication will reduce your rating.


We would also appreciate feedback from you on the events that you cover and report any concerns that you may have. This will allow us to evaluate future events that client may want us to arrange cover for.

Payment terms

Outlined below are the payment terms for all approved suppliers. Please read fully:

Events

i. You have the ability to quote for all or selected events on our calendar. There is no obligation to provide a quote and not doing so won’t affect your ‘Approved Suppliers’ status.
ii. Providing a quote is 100% free of charge - you will not be billed for sending us a quote.
iii. If your quote is selected by the client The Medical Network Ltd will take 10% from the total quoted price - A minimum fee of £25 and maximum fee of £500 will apply. For example a successful quote of £350 the Medical Network will take £35.
iv. Any repeat business the following year secured via The Medical Network Ltd will incur a 5% repeat booking fee and will be calculated by the total booking price. Note - we will contact the event supplier each year to confirm who their supplier is. This payment will be required each year until your connection with the client is stopped.
v. Once an event is booked and confirm by you and the client - we will raise an invoice for the 10% of the total price. This must be paid on completion of the event or no later than 7 days post event.
vi. Failure to pay invoices received from The Medical Network Ltd will mean removal as an ‘Approved Supplier’ and ability to join again.
vii. Cancellation fee - By cancelling an already booked event 7 days prior to the event date a fee of £25 will be charged. This will cover admin to date and also to help the client find a new supplier.

Training

i. You have the ability to quote for all or selected training courses. There is no obligation to provide a quote and not doing so won’t affect your ‘Approved Suppliers’ status.
ii. Providing a quote is 100% free of charge - you will not be billed for sending us a quote.
iii. If your quote is selected by the client The Medical Network Ltd will take 10% from the total quoted price or 10% per person booked onto your course.
iv. Any repeat business the following year secured via The Medical Network Ltd will incur a 5% repeat booking fee and will be calculated by the total booking price. Note - we will contact the client each year to whenever their renewal date is to confirm who their training provider is. This payment will be required each year until your connection with the client is stopped. For courses that have a renewal period of greater than 1 year the same terms apply as above.
v. Once we have confirmation from both the ‘Approved Supplier’ and ‘Client’ - we will raise an invoice for the 10% of the total price per person. This must be paid on completion of the course date or no later than 7 days after.
vi. Failure to pay invoices received from The Medical Network Ltd will mean removal as an ‘Approved Supplier’ and ability to join again.
vii. Cancellation fee - By cancelling an already booked training course 7 days prior to the course date a fee of £25 will be charged. This will cover admin to date and also to help the client find a new supplier.

Removal of ‘Approved Supplier’ status

We hope it never comes to removing a company as an ‘Approved Supplier’ but just incase please understand the following; Events

i. Failure to provide the client with the medical provisions outlined in the original quote. For example charging for a medical tent facility and not supplying one.
ii. Failure to turn up to the event on the day without The Medical Network Ltd or clients knowledge of non-attendance
iii. Failure to give adequate notice of non attendance - allowing the client to rearrange their medical cover for their event.
iv. The Medical Network receiving poor feedback from the client regarding your conduct and performance at an event (all complaints will be investigated prior to a decision being made)
v. Using the information that The Medical Network Ltd has provided you with to contact the client
directly to provide a quote.
vi. Failure to pay invoices on receipt and in full.
vii. Repeatedly turning up late to events.

Training

i. Failure to provide the client with the training course outlined in the original quote.
ii. Failure to notify clients in due course that the training course they're booked onto is cancelled.
iii. The Medical Network receiving poor feedback from the client regarding your conduct and performance (all complaints will be investigated prior to a decision being made).
iv. Using the information that The Medical Network Ltd has provided you with to contact the client directly to provide a quote.
v. Failure to pay invoices on receipt and in full.
vi. Repeatedly turning up late or repeated cancellation of courses.

How to gain maximum benefit from The Medical Network Ltd.

Once approved you will have the ability to quote for our events/training courses. As part of our marketing and strategy process, we will be spending a vast amount of time searching for events that you can quote for. To gain the most from these events we would recommend the following; All events or training courses will be outlined on your ‘dashboard’. You can quote from them here. If you do not want to quote for an event/training course you can simply delete them. Keep track of new enquiries that come in. Some will be last minute and require a quote ASAP. The quicker you submit a quote to better chance you have of winning the booking. Any questions you might have can be done via the job enquiry. Simply choose to ask the ‘client’ or ‘admin’ (TMN) or both. This interaction is limited to the people you message. No other party will be able to see the questions asked. If however the client feels a key piece of information is needed for all suppliers they have the right to send the answer to all suppliers. It is in your best interest to provide a competitive price for your service. Any abnormal activity coming from approved suppliers, in the form of very low quotations will be questioned and discussed prior to that quote being sent to the client. Please note: once a quote is accepted by the client that is the fixed price. TMN can verify this should a supplier/client try to claim the price is different.

As a company, you will set your own standards and we ask that you bring these standards to all events you secure via The Medical Network. Remember, you’re not only showcasing your abilities and professionalism but also as an approved supplier you’re showcases The Medical Network Ltd as well. We ask that you work with us to provide the best possible care and service to our clients. By doing this the client will have no reason to search elsewhere for medical cover the following year.
